Event Planning Blueprint

If you are arranging an outdoor function, corporate event, or exhibition, after choosing a location you will need to organise a marquee.

Marquees provide your event with a variety of benefits. As well as having direct access to the outdoors, they come in an array of designs and sizes, and can accommodate any number of people. The most important benefit is the protection a marquee can provide against the elements.

Depending on your budget, there are a variety of marquees you can choose from. The most common of which include frame marquees, made of a metal frame with a PVC cover, and traditional pole marquees that have canvas or PVC over poles, held down with rope. These can come in a number of shapes and sizes.

As well as your location, there are a few things to consider before choosing your marquee. In order to know what size of marquee you require, consider how many people will be attending your event, what type of event is it (will there be tables, chairs, exhibits etc.), will there be food and drinks served, and will that be located within the marquee or in a different area?

Once you have worked out the details and are ready to order, you will need to provide your preferred company with the following information: the number of guests, and confirm when you want the marquee delivered, erected and dismantled. There are a lot of companies that also provide furniture hire, and will assist in the arrangement and décor of your space.

There are additional elements of a marquee you should consider other than the outer shell. Marquee hire can include flooring, walls, lighting, optional doors and windows, as well as catering tents and mini gazebos for entrances and exits. Additional features can come in the form of furniture, heating, toilets, and power generators.

The quote will be based on the number of guests and location of the event. This will have a direct effect on transport costs as well as insurance and or a damage waiver. Remember to arrange with your contractor if you need the marquee in place for a specific length of time before the start of the event.

To ensure safety, your contractor needs to be aware of any underground drains or gas pipes. The quote itself is often subject to a site visit. As stated above, providers may also include generators, but if not you need to ensure that you have an adequate power supply.

For safety during your event, make sure that you have considered fire hazards and made the necessary precautions, such as keeping exits clear and investing in fire extinguishers. If you experience bad weather conditions during the event, such as strong winds, keep all flaps and doors closed.

We hope that this has given you an insight into all the factors you need to keep in mind when hiring a marquee for an event. Now you know what you’re looking for, shop around to get the best deal.
